CMG is currently recruiting for a Sales & Office Administrator to support our Western Hemisphere customer base and our Houston employee base. We are a worldwide leader in our field, thanks to our great staff who consistently deliver superior technology and unparalleled customer service.

As the first point of contact for employees and many customers at CMG’s offices in Houston, Sales & Office Administrator will play a key role in contributing to our success. This role requires adapting to shifting priorities to support the needs of our customers and colleagues. The ideal candidate will demonstrate solid judgement in knowing when to ask for further guidance or support, while always ensuring that customer experience is the top priority.

Key Responsibilities

Sales Administration:

  • Manage university and CSB (small consulting companies) CMG accounts for the U.S. and Canada through Salesforce, including licensing and being their primary contact.
  • Provide occasional assistance with Salesforce, specifically for sales analysis in conjunction with CMG Western Hemisphere sales leadership.
  • Provide software licensing assistance to the sale and licensing teams when required.
  • Work directly with accounts receivables when receiving client payments.
  • Be the primary contact and user of various U.S. government websites which enable CMG to participate in bids.
  • Provide professional and effective service to CMG’s customers and colleagues in person, by phone and by email.
  • Support Western Hemisphere sales team with projects and events coordination, such as planning and preparation of conferences and onsite training, including catering orders.
  • Responsible for clerical and administrative duties related to the delivery of training courses offered by CMG (customer registrations, preparing training materials, sending correspondence and running reports as needed).
  • Assist visiting CMG and Bluware employees with booking accommodations where required.
    Perform other related duties as required.

Office Administration:

  • Welcome visitors to the office, answer questions and direct them as appropriate.
  • Provide a variety of office support services, including sorting incoming and outgoing mail, visitor sign-in/sign out.
  • Coordinate shipping and receiving of documents and parcels, locally and worldwide.
  • Monitor and order office supplies and business cards as needed.
  • Support Senior Leadership Team with occasional general administrative duties, calendar management.
  • Maintain scheduling and records of major facilities-related tasks and services.
  • Liaise with key vendors regarding office equipment and building maintenance.
  • Perform quality checks for cleaning, maintenance and other services, and follow-up as needed.
  • Review and ensure accuracy of facilities-related invoices.
  • Submit, monitor and analyze building service requests, escalate as appropriate for recurring issues.
  • Research, gather quotes, make recommendations and coordinate approvals for various projects as required.
  • Coordinate office moves as needed including project management of facilities consolidation.
  • Assist Chief Safety Warden with scheduling Safety Warden meetings, evacuation drills and first aid/CPR/AED training.
  • Ensure availability of safety supplies (first aid kits) and maintenance of safety devices (AED)
  • Maintain general cleanliness of common office areas.
  • Maintain company phone and email directory, office floor plans.
  • Other responsibilities as assigned to ensure smooth operation of facilities and service.

The CMG Western Hemisphere sales team works on a hybrid schedule. Presence in the office is required based on business needs and sales team hybrid work schedule.

Knowledge, Skills & Experience

Education:
Degree or diploma in Business Administration or related discipline is an asset.

Knowledge & Skills:

  • A consistently friendly, helpful and professional demeanor with an understanding of the importance of customer service
  • Reliable and self-motivated, able to work with minimal supervision or collaboratively as part of a team.
  • Proven software skills with Microsoft Office Suite and aptitude to learn in-house software.
  • Familiarity with CRM tools such as Salesforce would be an asset.
  • Strong and clear business communication skills, both verbal and written.
  • Ability to prioritize, multi-task and be adaptable.

  • Be customer focused, learn about the business to help bring value to our customers
  • Team focused with a positive attitude, must be self-motivated, and have very good time management and communication skills both in written and verbal English.

Experience:

  • At least 3-5 years previous work experience in an administrative or sales administration capacity, in a professional setting.
  • Experience project managing office moves/consolidation.
